ATTENDANCEID Data Exchange: Attendance identifier, X(19)

A number that represents a system-generated identifier for a unique attendance record in the Data Exchange.


Specific Information:

The DEX application only generates attendance IDs for individual clients (either attending as a client or support person - Participation Type in ('CLIENT','SUPPORT')). We add unidentified client attendances to the attendance table and set AttendanceId to the negative of SessionId, and Participation Type to 'GROUP'. Further, because unidentified client attendances are not linked to individual client records, ClientId and CaseClientId are coded as 0. 

Unidentified client numbers captured at the case level estimate the total number of unidentified clients who are anticipated to attend services. In contrast, the unidentified client attendance numbers captured at the session level records how many unidentified clients actually attended that instance of service. This prevents double counting. For example, if the unidentified client total at the case level is 100, and there are two sessions each with 100 unidentified clients; the total specified at the case level indicates that there may be up to 100 unique unidentified clients for each session, and not 200 in total.

Specific Information:

Organisation’s Session Id. This is unique for a particular case within the organisation.

SessionId and CaseId compound must be unique within the upload file.

A client’s name, part of a client’s name, or other identifiable information should not be used as a Session Id under any circumstances.

This optional field helps organisations to identify the main avenues their clients come through to reach their services. This information is used to help target networking and communication strategies to increase client engagement with a particular funded activity if desired.
